Conference Presentation Instructions

Instructions for Oral Presentations
Contributed oral presentations are total 15 minutes long each, including 5 minutes for questions and discussion. The paper must be presented by one of the author or co-authors. Oral presentations are to be made either using your laptop or the PC that will be available in the session room (Windows system + Power point). Please come to the session room with your laptop or pen drive having your presentation file. There will be a volunteer on hand to assist in starting each presentation.

Instructions for online Presentations
The conference will be presented in a hybrid format with the option for speakers unable to travel to the meeting to present remotely during their scheduled talk time. This online format will be facilitated using the Zoom web conferencing platform. Contributed online presentations are 15 minutes long each, including 5 minutes for questions and discussion. The paper must be presented by one of the author or co-authors.

Instructions for Poster Presentations
Maximum poster size is 36 inches wide by 48 inches high (3 ft. x 4 ft.). You must provide your own printout of the poster itself. You are requested to set up your poster in the morning prior to the opening ceremony and remove it at the end of the session. One of the paper author or co-authors must be present and available for discussion at the poster session. Posters will be on display in the conference room.

Instruction for Pre-recording Your Presentation in Zoom
If you cannot present using live Zoom, you can do prerecorded video and email it to as ASAP to be able to play it during the Zoom sessions. To record your presentation, you must first download and install Zoom and create your own Zoom account.  Here are the steps to record your 10 minutes presentations.  Sign in to Zoom. In your profile, click on Settings. At the upper right corner, it will say “Host” and from the little arrow next to it choose with Video on. The launched meeting will appear. Join with computer audio, if applicable.

  • Hover over your video picture and click record when you are ready to record. It will state that recording is in progress. A red dot indicating recording will appear on the screen. If you move the mouse close to it, you will see two options, one to pause and next to stop. When you finish recording your paper presentation, click on stop, and it will state that recording stopped.
  • Leave the Zoom meeting. It will convert it to mp4. When it will finish converting, you have the option to save it wherever you want. Save it to desktop and then use your email to email it to us as attachment.
